Please go through our terms and conditions carefully before booking your trip with us! These terms and conditions are effective from the date you booked the trip us:
GENERAL BOOKING CONDITIONS
For tours in Nepal, Tibet, and Bhutan, a photocopy of your passport, completion of our online booking form, and a 20% deposit of the total trip cost are required at the time of booking. The 20% deposit is non-refundable once the booking is confirmed and will be treated as a trip cancellation fee if you cancel the trip at any time after confirmation.
The remaining balance must be paid upon your arrival in Kathmandu, prior to the commencement of your trek or tour. The balance can be paid in cash in US dollars, by credit or debit card, or via wire transfer.
Please note that card payments are subject to an additional processing surcharge.
Note: For Bhutan and Tibet tours, the full remaining balance must be paid at least 20 days before the scheduled departure date if you intend to fly directly to those destinations. We reserve the right to cancel the trip if payment is not received within the stipulated timeframe.

LAST-MINUTE BOOKING
We even accept the last-minute booking. You can book a trip to Nepal 3 days before the trip departure dates. However, last-minute bookings may not be acceptable in the case of the Bhutan or Tibet trips.
POSTPONE THE TRIP
Written notice should be sent to us if you cannot travel on the allocated days due to any reason.
FREE TRIP POSTPONEMENT (Nepal Trips Only):
After your trip is confirmed, if you are unable to travel on the scheduled dates for any unforeseen reason, you may postpone the trip to a later date that feels safe and suitable for you. This policy is valid exclusively for trips within Nepal. You may choose new travel dates at your convenience and use the full trip credit whenever you decide to travel in the future. We offer this trip postponement option without applying any additional charges.
CANCELLATION POLICY
If you cancel your trip, please note that the 20% deposit paid at the time of booking will be treated as a trip cancellation fee. This policy becomes effective immediately once your booking is confirmed. The 20% deposit is non-refundable.
If you have paid an amount exceeding the required deposit, we will deduct the 20% trip deposit from the total amount received, and the remaining balance will be refunded to you through the original payment method.
RISK AND LIABILITIES
All of the Nepal, Tibet, and Bhutan tours are conducted under the strict rules and regulations of the tourism board of the respective country. We are not liable for any changes or cancellations of the trip under unavoidable circumstances like change in the rules and regulations of the country, any government restrictions, natural disasters, political instability, cancellations of flights, delays, sickness or accidents, breakdown of vehicles, etc. Any extra cost incurred due to such circumstances shall have to be borne by the clients themselves. Therefore, travel insurance is highly recommended.
INCOMPLETE TRIP POLICY
We are not responsible for issuing refunds for any tour, trek, or expedition that is left incomplete due to personal decisions, health conditions, or any other reasons arising from the client’s side. Once the trip has commenced, no refund will be provided for unused services, missed days, or early departures, regardless of the reason.
UNFORESEEN CIRCUMSTANCES
If your trip is canceled or disrupted due to circumstances beyond our control, including but not limited to natural disasters, extreme weather conditions, political instability, government restrictions, or safety-related concerns, the trip will not be refunded. However, the full amount paid will be retained as trip credit for future travel with us. This credit may be used for an alternative itinerary or rescheduled trip within Nepal at a later date, subject to availability and operational feasibility.
TRAVEL INSURANCE
Comprehensive travel insurance is mandatory for all clients joining any of our trips. Your insurance policy must cover medical treatment, personal accidents, emergency evacuation including helicopter rescue, trip cancellation or interruption, loss or damage of personal gear and baggage, and natural disasters.
Clients are responsible for carefully checking their insurance policy details, including any excess or deductible amounts. In the event of an emergency, any excess fees or costs not covered by the insurance provider must be paid directly by the client at the time of service.
FLIGHT DELAY/CANCELLATION
Flight delays and cancellations are likely to happen often during bad weather conditions in remote areas, particularly in the Everest region, the Annapurna region, Dolpo, Simikot, and Jumla region. Therefore, it is advisable to carry some extra money to buy food and accommodations in case of delays. NHT will not be responsible for any of the additional expenses. Therefore, please plan accordingly.
DURING THE TOUR
If a client engages in any unlawful, prohibited, or inappropriate activity during the tour and, as a result, is detained, fined, deported, or required to leave Nepal by local authorities, Nepal Hiking Team will not be responsible for any refunds, compensation, or recovery of unused services. All costs, penalties, or consequences arising from such actions shall be borne entirely by the client.
WARNING
Our terms and conditions are applicable only if you book your trip with us directly. If you book your trip with us through any agents or third party, you shall be liable to their terms and conditions.
